Making your life easier with rules that suit organizational structure

Calculation rules that are the heart of the time calculation of became much more configurable. You may now set separate rules for company, team and employees.




The three levels of rules (company, team and employee) follow the organizational structure. Rules set on the company level can be overridden by those set on team level. Furthermore the team level rules can be overridden on the employee level.


The best way of setting the rules is to start from the top down. On the company level we set the rules so they fit the most of the working time limitations set in the organization. We’ll enter the holidays, set the weekend days, define how lunch breaks are clocked and when our employees should be working.



Setting team rules


In some cases the company level of rules will be enough for your organization, but there are cases when a team works in their special regime, maybe they start earlier than the rest of the company. In this case we’ll set rules just for that team. 

In our case the only rule that is different from the company level rules is the paid time rule, so we’ll override just that one and leave all the other rules to be taken from the company level.


To set the team rules open the teams view and select a team.





On the right side menu there is a link for setting the rules.




If this is the first time you opened the rules settings you will notice that the settings for all the rules are taken from the company level.


To edit the paid time rule click on the blue edit button.



First we’ll turn off the inheritance from the company level by deselecting the ‘use settings from higher rule level’ check box. Interface for defining the rule will show up. Here we’ll set up the paid time for workdays. Once we save the rule settings they automatically apply to the period we selected.



Setting employee rules


Sometimes the team is just too wide to set the rules and we must go all they way down the hierarchy to the employee level. We could have a technician going abroad to work on a job for a month. In this case we want to set individual rules for the employee and once he comes back we want that he resumes working under his team’s rules.


To set employee’s calculation rules we’ll head to the employees view and select the employee.


On the right side menu there is a link for setting the rules. The familiar overview of rule settings will be shown. Here we can set employee’s new time zone, enter local holidays and make other adjustments to the rules.



Once the technician comes back we’ll simply go back to his rule settings and select the ‘use settings from higher rule level’ check box. When we save the rule we’ll enter the date from which on the new settings will be valid.


By setting rules on the company, team and employee level you can fully customize time calculation to your needs. So next time you’ll have some specific rule to set for a team just head to team calculation rules.
